- Vertafore has made its Velocity Policy Intake Agent and Policy Check Agent generally available, automating document processing and policy verification for independent insurance agencies.
- Early testing showed that Policy Intake Agent reduced processing time for commercial property and general liability packages by up to 87%, while Policy Check Agent cut verification time by up to 90% per line of business.
- Both agents integrate with Vertafore’s agency management systems, allowing insurance professionals to review and approve AI-generated updates while maintaining audit records.
Insurance technology provider Vertafore has launched two AI-powered tools designed to automate insurance policy administration, reducing manual data entry and verification work for independent agencies and brokerages.
The Velocity Policy Intake Agent and Velocity Policy Check Agent are now generally available, extending the company’s AI capabilities across the insurance policy lifecycle.
The products address two labor-intensive processes: transferring policy information from documents into agency management systems (AMS) and verifying that policies issued by insurers match the coverage originally requested.
Together, the agents connect document processing with policy verification, giving agencies more complete records for servicing, endorsements, remarketing, quoting and proposals.
Agencies depend on policy information every day, but not all of that information makes it into the management system where it can be readily put to use.
James Thom, president and chief AI officer at Vertafore
“By changing that equation, these agents strengthen the AMS as a true system of record – putting more comprehensive, accurate data at an agency’s fingertips to service client needs today and support opportunities for organic growth tomorrow. That’s Distribution Velocity: removing friction so agencies can adapt faster and grow smarter”, James Thom says.
Insurance agencies routinely receive policy information in multiple formats, including PDFs, declarations pages, binders, quotations, applications, schedules and spreadsheets.
When insurers do not provide automated policy downloads, employees must manually interpret documents and enter relevant details into management systems. The workload increases with policy complexity and can create inconsistencies between source documents and agency records.
Velocity Policy Intake Agent automates information extraction and maps policy details to the appropriate management system fields. It identifies new, modified, missing or conflicting information and presents proposed updates for review.
Agency employees retain control over approvals. Once changes are authorized, the agent updates the management system and files the supporting documentation.
The product is available through AgencyOne with AMS360 and is in early access for Sagitta users.
During early adopter testing, Policy Intake Agent reduced the time required to create and review a typical commercial property and general liability package policy by up to 87%.
Ali White, farm account manager at Accountable Insurance Partners, said the technology was particularly useful for agricultural insurance policies that do not support automated downloads.
Most of our farm policies don’t download, which has traditionally meant a lot of manual data entry for our team. We’re already seeing time savings with Policy Intake Agent. Having it take on so much of that manual work makes a huge difference and gives our team valuable time back.
Vertafore’s second product focuses on verifying issued insurance policies.
Agencies traditionally compare policy documents against applications, quotations and other supporting records to identify discrepancies in coverage, limits, deductibles and contractual terms.
Errors that go undetected can create problems for policyholders and increase an agency’s errors and omissions (E&O) liability exposure.
Velocity Policy Check Agent compares issued policies with information held in the AMS and relevant source documents. It flags discrepancies and recommends corrections for employees to assess.
After receiving approval, the system applies corrections, creates follow-up tasks where necessary and records the review history within the agency management platform.
Policy Check Agent is available in AMS360. Early testing indicates that it can reduce policy verification time by up to 90% per line of business, potentially accelerating policy delivery while preserving an auditable record of the review process.
Crystal Meador, vice president of business development and field operations at Biltmore Insurance Services, said automated verification could allow employees to spend less time comparing policy documents and more time advising clients. “Reviewing insurance policies has historically required a significant amount of manual effort, with team members comparing coverage details line by line to identify discrepancies and ensure accuracy”.
The ability to automate that process is transformative. It not only creates substantial time savings and consistency but also enables our teams to dedicate more energy to client strategy, risk consulting, and the personalized service that drives long-term relationships.

Both products form part of Vertafore’s broader Agentic Agency strategy, which aims to integrate AI-assisted workflows across insurance sales, submissions, policy servicing, accounting and business intelligence.
The agents are designed to operate within existing agency management systems, with insurance professionals responsible for reviewing and authorizing proposed changes.
By connecting policy intake and verification, Vertafore aims to reduce repetitive administrative work and improve the accuracy and availability of policy data throughout the insurance lifecycle.
